1. Registration and Eligibility

  1. Free Registration: Registration for the Aramco TecShift Summit 2024 is free of charge.
  2. Verification: All registrations will be subject to verification. The event organizers reserve the right to deny access to any registrant if the provided invitation code or Aramco employee ID cannot be validated.
  3. Transfer of Registration: Registrations are non-transferable. Participants who register under one name may not transfer their invitation code or registration details to another individual.
  4. Multiple Registrations: Participants may not register more than once for the event using the same invitation code or employee ID.
  5. Final Confirmation: Upon successful verification of the registration information, participants will receive a confirmation email with further details. Entrance to the summit is contingent upon presenting this confirmation at check-in.

2. Attendance and Participation

  1. Admittance: Only participants with a valid registration confirmation will be allowed to attend the summit.
  2. Identification: All participants must present a government-issued photo ID or an Aramco employee ID at the entrance for identity verification.
  3. Badge Usage: Participants will receive an event badge upon arrival. The badge must be worn at all times during the summit for access to the event and related activities. Badges are non-transferable, and any misuse of badges may result in removal from the event.
  4. Conduct During Event: Attendees are expected to maintain a high level of professionalism throughout the summit. Disruptive behavior, disrespect toward speakers, attendees, or event staff will not be tolerated and may result in removal from the event without prior notice.

3. Event Changes and Cancellations

  1. Right to Modify: The event organizers reserve the right to modify the summit agenda, speakers, dates, location, or other elements of the event at any time and for any reason without prior notice.
  2. Notification of Changes: In the event of significant changes to the summit program, participants will be notified via email or other contact details provided during registration.
  3. Cancellation by Organizer: If the event is canceled due to unforeseen circumstances (e.g., force majeure), the organizers will not be liable for any costs or expenses incurred by participants in relation to travel or accommodation.
  4. Participant Cancellation: If a participant is unable to attend after registering, they are encouraged to notify the event organizers as soon as possible, although no refunds or substitutions apply since there are no fees for registration.

4. Data Protection and Privacy

  1. Data Collection: By registering, participants consent to the collection and use of their personal data, including name, contact details, and professional information, for the purposes of event organization, management, and post-event follow-up communications.
  2. Use of Personal Information: The personal data collected will be used strictly in accordance with applicable data protection laws and the Aramco privacy policy. Event organizers may share data with trusted third-party service providers for logistical purposes (e.g., registration system, event app).
  3. Marketing Communications: Participants may receive post-event communications regarding future Aramco events or initiatives. Participants can opt-out of these communications at any time.
  4. Event Photography and Filming: By attending the event, participants grant the organizers permission to capture photographs, videos, and audio recordings of the event, including participant likenesses. These materials may be used for promotional and marketing purposes without any compensation to the participants.
  5. Third-Party Sharing: Personal data will not be shared with external parties for marketing purposes unless consent has been explicitly granted by the participant.

5. Intellectual Property and Content Use

  1. Summit Content: All presentations, sessions, workshops, and materials shared during the summit are protected by intellectual property laws. Unauthorized use, reproduction, or distribution of event content is strictly prohibited without prior written consent from the content owner or the event organizers.
  2. Participant Materials: Participants may share their own materials (presentations, documents, etc.) during workshops or networking sessions. By doing so, they represent that they own the rights to such materials and grant the organizers a non-exclusive license to use these materials for event purposes.

6. Liability and Disclaimer

  1. Participant Responsibility: Attendees participate in the Aramco TecShift Summit at their own risk. The event organizers will not be held liable for any personal injury, loss, or damage to personal property sustained during the event.
  2. No Warranties: The event organizers make no warranties regarding the quality, accuracy, or completeness of the information presented during the event. Opinions and views expressed by speakers and exhibitors are their own and do not necessarily reflect those of Aramco or the event organizers.
  3. Third-Party Services: The summit may include services or content provided by third-party vendors (e.g., event apps, travel services). The event organizers are not responsible for the availability, accuracy, or reliability of these services, and any reliance on such services is at the participant's own discretion.
  4. Indemnification: By attending the event, participants agree to indemnify and hold harmless the event organizers, sponsors, and their respective officers, employees, and agents from any liabilities, claims, or damages arising from their participation in the summit.

7. Code of Conduct

  1. Respectful Behavior: All participants are expected to behave in a respectful, inclusive, and professional manner during the summit. Discriminatory, harassing, or inappropriate behavior based on race, gender, religion, nationality, disability, or other personal characteristics will not be tolerated.
  2. Zero Tolerance Policy: The event organizers have a zero-tolerance policy toward harassment, abuse, or any other behavior that could undermine the safety and inclusiveness of the summit. Any participant found to be in violation of this code of conduct may be removed from the event without prior warning and banned from future events.
  3. Reporting Issues: Participants who experience or witness any form of inappropriate behavior are encouraged to report the matter to event staff immediately. All reports will be handled confidentially.

8. Governing Law

  1. Applicable Law: These terms and conditions are governed by and construed in accordance with the laws of the Kingdom of Saudi Arabia.
  2. Dispute Resolution: Any disputes arising out of or related to the Aramco TecShift Summit will be subject to the exclusive jurisdiction of the courts in Saudi Arabia.
